For the purpose of this document the phrases ‘we’, ‘us’ and ‘our’ refer to Huthwaite Plumbing & Heating Supplies Ltd.
Our lawful basis for storing information has been identified as ‘Contract’, in that any quotation or invoice created on a customer’s behalf forms such a contract.
Why We Store Your Data?
In the case of account customer this information will form part of our legal tax records and also part of your transaction history should a guarantee issue arrise. The information will be used for the purposes of quotations, sales and invoicing and for accounting purposes. It may also be used to provide you with sales history at your request. We may access your data to contact you with regards to our business relationship.
In the case of cash customers we may ask for your details in case we need to contact you regarding your order. This information is voluntary and will form part of our permanent invoice records. It will not be used for any purpose other than informing you on the progress of your order or to provide a copy invoice in the future at your request.
Who Will We Share Your Data With?
In the case of account customers we may make enquiries of credit reference agencies and other third parties who may record these enquiries. We may also disclose information about the conduct of your account to credit reference agencies and other organisations from which you have requested credit facilities. The information obtained from or provided to credit reference agencies or other third parties may be used when assessing further applications for credit terms, for debt collection, for tracing and for fraud prevention. We may also share your information with our suppliers should you require use of their specification facilities.
In the case of cash customers we will not share your information with third parties without a valid legal reason such as fraud prevention.
The information you provide us with forms part of our permanent invoice records which cannot be amended or deleted. You have the right to access and request the amendment of any information that forms part of our customer records which will, in turn, form part of our permanent invoice records moving forward. Should you request the deletion of any records we will review your request. You will be informed within 10 working days of our decision.
How Long Will We Store Your Data For?
Your customer account records will be deleted as part of our year end accounts if your account has not been used for 10 years and there are no outstanding transactions.
We record all telephone calls for the purpose of training and quality control.
Our premises is fully covered by CCTV cameras which includes voice recording in the trade counter area. The information gathered may be used for quality control purposes.
